The scientific programme will consist of invited plenary speakers, parallel sessions (organised symposia and oral presentations) and poster presentations, all of which will be based on the Congress themes.

The Organisers invite ideas and proposals for contributions for inclusion in the programme. Each proposal should address the themes of the Congress and be relevant to the concerns, activities, objectives and priorities of botanic gardens worldwide.

The proposals should be in the form of:
• oral presentations (20 minutes) to be included in a parallel session: 15 minutes presentation + 5 minutes questions
• poster papers
• symposia / workshops / round table discussions

Proposals for oral presentations will be grouped together by the organisers by theme, topic, aims and objectives to make useful and stimulating sessions. The organisers will identify suitable moderators for each session.  The moderators will summarise the main conclusions of the sessions and these will be used to help set future priorities for the work of botanic gardens.

One presentation rule
• To encourage broad participation, each person is in principle allowed to present only one contributed oral or symposium presentation (no limit on posters)
• A person may be a co-author on several abstracts
• Authors or presenters may also participate as Session Chairs, Symposia Organisers or Workshop/Field trip Organisers

Evaluation and acceptance of abstracts (selection criteria)
The Scientific Committee will evaluate all abstracts for inclusion into the conference programme. All submissions (in English or French) should be thoroughly checked for spelling and grammar before submission as the abstract will be included in the conference handbook.

Accuracy of the abstract is the responsibility of the author/s. Abstracts will be rejected if they do not comply with the standards stated herein.

Abstracts will be assessed against the following selection criteria:
• Clarity of purpose/aims
• Originality and interest
• Scientific merit
• Significance of findings/issues discussed
• Relevance to conference theme

Authors will be notified of acceptance by 1st March, 2017. Please note that even if the abstract is successful it may not necessarily be approved for the authors’ selected presentation theme / type. The final decision on presentation theme / type rests with the Scientific Committee.

Copyright statement
The author/s reserve/s all propriety rights, such as patent rights. The author/s retain the right to use all or part of this presentation in future works of their own, such as lectures, press releases, reviews or textbooks. The presenting author is responsible for obtaining evidence of copyright clearance/authority on any items subject to copyright, which are included in this presentation.

All submitted abstracts will be reproduced in the conference programme and/or on the conference website.

Notification of acceptance
Presenters will be notified of acceptance by 1st of March, 2017. Presenters of contributions will need to register for the conference (add link for dates). It will be assumed that any presenter not registered by the close of registration has withdrawn from the programme and their abstract will not be included in the handbook.


How to develop ideas for a symposium / workshop / round table discussions for the Congress

These will be sessions that are organised around a specific theme. Organisers are responsible for inviting the presenters / speakers to be included within their session. The types of session are expected to be different lengths of time.

1. Identify a strategically important topic.  What information do you believe is important for your colleagues to know? What topic could stimulate good discussion and ideas? What are the aims and objectives of your proposed session?

2. Consult your colleagues.  Discuss your idea with other collaborators or with the organisers of the Congress. They may also be able to give guidance about topics and possible presenters and will be glad to respond to your ideas.  In particular they will be able to help you contact people in other parts of the world who may be interested in working with you to develop a proposal.

3. Find speakers, panellists or other contributors for the session you wish to propose.  Because this is an international congress, ideally each session will have speakers from several countries.  Balance your session; include participants from different countries, a balance of gender and with different perspectives on issues.  Most colleagues will be happy to help or suggest speakers.  Involve colleagues from other gardens and arboreta and people with expertise beyond the botanic garden community too.

Symposium: Formal sessions with speakers addressing specific topics.  Each symposium will have one or more moderators and no more than four speakers to allow time for questions and discussion.

Round table: Moderated discussion, usually involving a series of panellists who share experiences and invite discussion and questions from the audience.  A successful proposal should contain a precise statement of the issues to be presented and what conclusions you hope will result from the session .

Workshops: Workshops aim to present opportunities for a range of participants to contribute and learn on the chosen topic (e.g. ‘writing a management plan’, fundraising proposals, labelling, living plant databases, managing an ex situ conservation collection, etc.) preferably in a hands-on manner and will generally include discussion and short presentations .
